Coetio is used mostly by high-school students. These guidelines cover what may be posted and how people are expected to behave. They apply to every account: members, officers, advisors, owners, and the coordinators who run volunteer programs. They are part of Coetio's Terms of Service. Breaking them can get an account or an organization suspended or deleted.
Write and act as if the person being discussed will read it.
The rules
- Be real. Use a real name. An account represents its holder and nobody else. Pretending to be another student, a teacher, a school, or Coetio is not allowed. Neither is inventing an organization or claiming a school connection that does not exist.
- Be decent. No harassment, bullying, threats, or hate aimed at anyone, including on the basis of race, religion, disability, gender, or sexuality. Disagreement is fine. Targeting a person is not.
- Keep it school appropriate. Nothing sexually explicit or graphically violent. Nothing promoting drugs, alcohol, weapons, or self-harm. Content that would come down off a school bulletin board does not belong here.
- Respect privacy. Do not post anyone's phone number, address, schedule, or grades. Do not forward a roster or an export to anyone outside the organization. A guardian's name and phone number stay inside the program that recorded them. Do not collect information about people who are not involved.
- Ask before posting a photo. Posting a photo of someone needs that person's permission, and a guardian's where the school requires it. Take a photo down when the person in it asks.
- Post only what belongs to the poster. Uploading something means holding the right to share it. Copyrighted material needs permission.
- Keep records honest.Attendance, service hours, votes, and dues records have to be accurate. These records can appear on scholarship and college applications, and a faked one affects every member of the organization.
- No spam or scams.Announcements, invites, and the suggestion box are for the organization's business. Do not use them to advertise, sell, phish, or send people to unsafe links.
- Do not attack the service. No breaking in, scraping, overloading, or reaching other people's data. Report a security problem to support@coetio.com rather than exploiting it.
- Follow the law and the school's rules. Nothing on Coetio suspends either one.
Extra rules for leaders
Owners, officers, and the coordinators of a volunteer program hold other people's information, and are held to a higher standard. An advisor sees a read-only version of the same leader view, including reports that name members and their attendance counts, so these rules cover advisors too.
- Collect only what the organization needs, and tell people what is being recorded.
- Contact details stay inside the organization. Selling them, publishing them, or using them elsewhere is not allowed.
- Look after exports and backup files. Once downloaded, a file is outside Coetio's access controls.
- Remove people from the roster when they leave or ask to be removed.
- The private note field is for the organization's business, not for opinions about a person that would not be said to their face.
- A volunteer program holds guardian contact details and a signed paper consent form for minors. Keep both inside the program, and honor what the form says.
- A volunteer program must record nothing about the people it serves: keep residents, clients, and patients out of shift names, notes, and every other field.
- Do not use the organization's tools for personal purposes, such as messaging one member about something unrelated.
The anonymous suggestion box
Suggestions are anonymous to the organization. No name, email, or account link is stored on the suggestion, so no leader can work out who sent one. The one exception is an anti-spam counter, which records that an account used the box and never what was written. It is visible only to site administration, and a daily job deletes it once it is two days old. The suggestion box exists to help an organization, not to target a person. An organization that receives abusive suggestions can turn the feature off in Settings.
Reporting a problem
- Any organization: use the report link on its join page. No account needed.
- Something inside an organization: tell a leader or an advisor first. Most things get fixed there.
- Anything else, including a report about a leader: email support@coetio.com with what happened, where, and a link if there is one.
If someone is in danger, contact a school or local emergency services first. Coetio is a website, not an emergency service, and nobody is watching it around the clock.
What happens when a rule is broken
Coetio reviews what is reported. Coetio does not read everything posted and does not promise to catch every violation on its own. Depending on how serious it is, Coetio may:
- remove the content;
- suspend an organization during review;
- suspend or delete an account;
- delete an organization.
Enforcement usually starts with a warning. Anything that puts a student at risk is acted on straight away. While an organization is suspended, its join page shows a notice to its own members and returns not-found to everyone else, nobody new can join, and leaders cannot post. Members can still sign in and read what is already there.
Appeals
An owner may appeal a suspension from the suspension page, and receives a decision with a reason. For any other action, including one against an account, email support@coetio.com to ask for it to be reconsidered.

These guidelines change as the product changes. The date at the top is the most recent revision. Questions go to support@coetio.com.
